Heat Pump Service Coordinator & Project Manager

Xerxes commissioning a diy heat pump install in Nederland, CO. He's kneeling at the condenser unit pulling a vacuum.

want to work in heat pumps? let’s talk.

We are looking for the person who builds our service department, and who makes sure every job we sell gets permitted, scheduled, inspected, and closed on time.

Just Heat Pumps is a locally owned, emissions-driven heat pump company serving Denver Metro and the Front Range of Colorado. We design and install heat pump systems to a standard most of this market does not attempt, and we are growing fast.

We are looking for a service manager to help us work in, improve on, and build out our service department as we grow. This is a local, hybrid remote/in person role. We will teach you heat pumps, how to triage, and Front Range nuances of HVAC. What we need is someone who owns the result, is accountable for the outcomes, and who manages and builds the department over time. If a date slips, this is the person who knew first, told us first, and already has the fix in motion.

We hire for character and aptitude first, then build skills together.

WHAT YOU WILL OWN

You’ll be the point person on service, some on-call weekend phones, emergencies, backup on scheduling and inspections, and more.

  • Build and own the service department. Not inheriting one, building it with us: triage script, dispatch rhythm, maintenance plans, parts and truck stock, warranty and callback tracking.
  • Service intake and dispatch, including winter no heat calls. Every call, text, email, and web form becomes a documented job the same day, with symptom, equipment, history, and urgency captured well enough that a tech can prepare before leaving the shop.
  • The schedule. Every sold or booked job with crew, materials, and appointment windows lined up, synced and enhanced with installation scheduling, inspections and closeouts.
  • Permits and inspections. Pull and track permits across the Front Range jurisdictions, book inspections, coordinate access and crew presence, and own the path to a passing reinspection.
  • Full backup for our Heat Pump Admin seat. Trained on the whole fulfillment workflow so nothing stalls when someone is out. It works both ways. See the next section.
  • Vendors and customer communication. Electricians, sheet metal shops, and distributors held to committed dates. Customers receive plain language, accurate dates, and updates.
  • Clean records and closeouts. Job status, permits, equipment, serials, and notes current in our software so anyone can pick up a job cold. Commissioning records and paperwork complete before a job reaches our rebate team.
  • On call. On rotating weekends you answer the company phone, triage with our emergency decision tree, and route true emergencies to the on call tech. During a deep freeze everyone is on deck, and that time is paid.

You don’t have to be perfect at all of this on day one, but you need to be honest about what you know, hungry to improve, and comfortable leading a new department.

WHO YOU ARE (CHARACTER-FIRST)

We hire on character first. We care more about who you are than how long your resume is. You might be a great fit if you:

  • Finish what you start. If you said the permit gets pulled Tuesday, it gets pulled Tuesday, and if it cannot be, we hear about it Monday.
  • Treat a deadline as yours even when you are waiting on someone else, and never let “waiting on” become the reason something did not happen.
  • Stay calm and kind on the phone with a cold, frustrated homeowner. Service is Customer Service, after all, and we are in a people business.
  • Like equipment. You want to understand how a system works, more than just move it through a calendar.
  • Speak up when a process is broken, with a fix in hand, and leave notes good enough that anyone can cover for you.
  • Want your work to help Colorado homes clean Denver’s air.

Our core values: Unwavering Integrity, Top Quality, Positive Impact, and Efficiency and Performance.

Requirements

  • You live in Denver Metro and can be at our warehouse at 5180 Fox Street weekly if needed.
  • Valid driver’s license and reliable transportation for field and training days.
  • One or more years of scheduling, dispatch, permitting, or project coordination in a trade (HVAC, plumbing, electrical, solar, roofing, or similar). HVAC experience is a strong plus.
  • Comfortable on the phone with homeowners all day, and hands on with field service software (Housecall Pro, ServiceTitan, Jobber, or similar) and Google Workspace.
  • Available full time regular hours Mountain Time, Monday through Friday, plus weekend on call with the option for weekdays off to stagger some weeks.
  • Legally able to work in the United States.

WHAT WE OFFER

  • Pay: $25 to $31 per hour, based on experience.
  • Paid time off: A defined amount of weeks based on tenure and increases with time with the company.
  • Health and retirement: QSEHRA health reimbursement plan after 90 days covering premium and qualified medical expenses and a SIMPLE IRA with a 3% match after 180 days.
  • Paid on call: Alternating on-call weekend pay to help with the phones and routing.
  • Training: Structured onboarding, SOP training, heat pump tech, triage, permitting, and our systems. In house training lab, and manufacturer and distributor training is paid time.
  • Career Path: A path toward more accountability and possible upper management; friends and family discounts in our service area and more.

We are designing one of the best heat pump training systems in the U.S. – your input will shape it.

HOW WE HIRE (AND HOW YOU APPLY)

We don’t hire off a resume alone. Our process:

1. Email your resume to HR@JustHeatPumpsLLC.com with the subject line “Project Manager & Service Manager: [Your Name]”, including your requested hourly rate, where you live, and why this role.

2. You must complete our applicant questionnaire here. Applicants without it will not be considered.

3. Two short calls with our owners: character and communication, then skills.

4. A paid scheduling exercise, about 45 minutes: a messy week of installs, permits, inspections, and a no heat call.

5. An in person visit to the warehouse to meet the crew, then reference and background checks, an offer, and onboarding against the dates above.

We look forward to hearing from you!

The annual maintenance program continues Just Heat Pumps philosophy that they want your system running right. If not it reflects on them. Justin was great, polite, calm, friendly, and informative regardless of how many questions I asked. Also not indication at all that I should be spending more or need something or else. No upselling in sight. I have recommend these guys to several neighbors and will continue to spread the word when I can.

Every single person I talked to at JHP listened to me and thoughtfully and thoroughly answered every question and concern I had, especially Tom (sales), Ryan and Ben (installation), Xerxes (head honcho), and Kevin and Tino who poured the concrete slab AND went above and beyond to remove an old unit from my crawl space that I couldn’t figure out how to do on my own. The professionalism exhibited by every member of the team could not have been higher, but the most enduring impression was everyone’s pride in their work and how much they obviously enjoyed being a member of the JHP team. It’s too soon to say how the system they installed will perform, but I have every confidence that should any issues arise, they will be addressed with the same level of care and expertise shown during the installation. A rare and exceptional group of people who take pride in their work while treating you with common human decency. A memorably positive experience all the way around.

Our experience with Just Heat Pumps was outstanding. Xerses and Erin, other JHP staff, and their contractors for installation and electrical work were very skilled, professional, and conscientious. It’s just over a year that JHP installed mini split wall and ceiling units in our home. During one of the hottest summers in Colorado history, we stayed super cool. We used the heat feature as a supplement to our hot water heat system in the winter and the house was uniformly warm and comfortable. We also had our annual service inspection, and the system was thoroughly checked and cleaned. Before we chose JHP, we met with several companies to find they were pretty good sales people, but short on technical knowledge and unable to solve a few workarounds that we needed. We chose JHP because they had the tools to right size our units, make helpful suggestions, and genuinely knew the pros and cons of various options. We have been so pleased with Just Heat Pumps and would not hesitate to highly recommend this awesome company.

We got our annual tune up on the system. Everything is in good shape. Kevin was our service technician and he was terrific! He was polite, courteous and friendly. He answered my questions and explained why the fan periodically activates when the system is "Off". This is a great local company with great design and service. They have my wholehearted recommendation for their products and services. Thank you Xerxes, Erin and Kevin - you do a great job.

Just Heat Pumps replaced our furnace with a heat pump and was fantastic to work with through the entire process! They were prompt, professional, transparent, and friendly. Xerxes takes a data driven approach to specifying the best system. The installation team even asked if we wanted to write anything in the concrete pad they poured for mounting the condenser, which our daughters loved!

Working with Just Heat Pumps LLC was a 5-star experience all around. Their depth of knowledge on modern heat pump systems, efficiency ratings, and local Denver incentives set them completely apart from traditional HVAC outfits. The installation was handled on schedule with meticulous attention to detail and clean workmanship. Our home stays perfectly comfortable, and the system is remarkably efficient and quiet. Highly recommend them to anyone making the switch to an all-electric heat pump setup!
